Seriously, read this. Whether you’re brand new to Bash or a seasoned veteran, this is the page that answers your burning questions, clears up confusion, and helps you avoid rookie mistakes. From parking logistics and check-in details to “Can I bring my dog?” and “Wait, what is the Lot Crawl?” — we cover it all. Don’t skip it. The more you know now, the smoother your Bash will be.

GENERAL

WHERE IS ANNUAL BASH HELD?

The Xscapers Annual Bash will be returning to the Sara Park Rodeo Grounds in Lake Havasu, Arizona.

Yep! You must have an active Escapees RV Club membership to join in the fun. And yes, if you are an Xscaper you are also an Escapee!

Of course! We do ask you keep your pet on a leash at all times due to the number of other animals and two-legged creatures roaming about. Pets are allowed in Center Camp during the day. After 6:00 pm, we ask that they stay out of Center Camp to avoid trouble with evening activities. Pets are not allowed in buildings.

We shouldn’t have to say this, but pick up after your pets and don’t leave landmines for someone else to find.

You sure can!  A mailing address will be made available closer to the event start date.

We will not accept any oversized packages or pallet deliveries.  If it can’t be carried by one person, it will be sent back.

We’ve organized WiFi in the main activity area that can be used as a communal working space.

For your personal connection, all major cellphone carriers work well at the rodeo grounds and there are no trees or other obstructions to block Starlink.

Marketing? Who has time for that? Just come and enjoy yourself! We will make an announcement if an appropriate situation allows for this. There will be an Xscapers marketplace for people with craft businesses, please see the schedule and watch for the call in emails.

TICKETS

WHAT IS THE CANCELLATION POLICY?
If you decide to cancel
  • More than 60 days to the event: $50 cancellation fee, rest of payment refunded
  • 30 – 60 days to the event: 50% refund of full event cost
  • 30 days or less to the event: No refunds
 
We only accept credit or debit card payments for Convergence registrations. All refunds will be credited to the card used at the time of registration. No cash refunds.
 
All refund requests must be in writing by 11:59 PM CDT, December 10th, 2025. No refunds will be issued after December 10th, 2025.

 

THIS CANCELLATION POLICY IS FIRM.  THERE ARE NO EXCEPTIONS.

Absolutely! If you’re planning to have someone stay with you in your RV during the event, just be sure to add them as an additional attendee when purchasing your tickets.

Please note: we do not allow walk-in guests during the event. All attendees must be registered and staying on-site in an RV. This policy is in place for safety and liability reasons — thanks for understanding.

You may purchase an Early Arrival and/or Late Departure Tickets during your registration.
Late Departure tickets will also be on sale at the event.
You must arrive during the designated parking hours for your arrival date (these times will be released closer to the start of the event). 

You may only arrive during designated arrival times — please plan accordingly. We want our hosts and volunteers to enjoy the event too, not scramble to park rigs in the dark.

If you’re dealing with an emergency, know you’ll miss your arrival window, or need to arrive late or leave early, reach out to us in advance. We’ll do our best to work with you, but communication is key.

Yes, you can — but please use extra caution when pulling out, as there will be RVs, people, and activity all around you. Safety is the priority.

Keep in mind that there are no discounted rates for leaving early, as your ticket reserves your space for the full duration of the event.

By registering for this event, you are agreeing to the following:
  • As an attendee, you assume all risk and danger relating to your personal property, RV, and attendance at the event, whether occurring prior to, during, or after the event. In the event of loss or theft, no claim will be made upon Escapees, its volunteers, employees, or agents.
  • Volunteers may be directing and assisting you in your parking areas. However, it is the driver of the vehicle who is ultimately responsible for avoiding obstacles or dangerous situations and is solely responsible for any damage to one’s property or the property of others.
  • As an attendee at this event, you are granting your permission to be filmed, videotaped, audiotaped, or photographed, and granting to Escapees RV Club the full use of any such recordings or images without compensation.
  • By registering, you will also receive occasional email notifications of future Convergences; however, you can opt-out of these notifications at any time.
  • In addition to the above, you will be required during registration to agree that you will help provide a safe environment for everyone by complying with our health and safety rules, and to release Escapees from liability should you become ill during the event.

CAMPING/ PARKING

WHAT ARE THE DIFFERENCES BETWEEN THE PARKING SECTIONS?
  • Solar – For RVers who rely on solar power and prefer a quieter setup. No generator use allowed, except in cases of poor weather or emergency battery issues.

  • Solo – Designed for those traveling alone who want to park and connect with fellow solo adventurers.

  • Family – A community space for attendees traveling with children. Camp near other families for a kid-friendly environment.

  • Party – You know who you are! No quiet hours, no noise complaints.  All-ages welcome though not recommended for those with young kids. Expect a louder, livelier vibe.

  • General – Don’t quite fit any of the other categories? This is your spot. A flexible space for everyone else.

This is a dry camping event.  There are no electrical hook ups available.  You may use a generator or collect rays from the sun to power your rig.

You may only have propane fires at your site but feel free to enjoy the large fire cauldron in center camp for wood fires every evening.

“Quiet” might be a stretch at Bash — but we do ask everyone in standard camping areas to keep things less noisy between 11:00 PM and 7:00 AM. If you’re in the Party section, all bets are off.

Just a heads-up: some scheduled events in the main gathering area may run late and get loud. Plan accordingly if you’re a light sleeper!

Generator hours are 7:00 AM to 10:00 PM in all camping areas except Solar Parking, where generator use is not permitted under normal conditions.

We understand power needs vary, and sometimes you’ve got to run the genny to keep things charged. Just be respectful: limit use to what’s necessary, avoid running it for extended periods, and please do not use contractor-style generators due to their excessive noise.

No matter where you’re parked, you’re likely to hear generators during designated hours — it’s part of the Bash experience. If generator noise is a dealbreaker, this might not be the event for you.

Solar Section: In the case of poor weather, limited generator hours may be announced via the event app.

YOU MUST ARRIVE ON SITE WITH YOUR BLACK AND GRAY TANKS EMPTY AND YOUR WATER TANKS FULL.  Hundreds of RVs will be arriving on the same day and by arriving with your tanks empty, you are helping to ensure smooth arrival and parking experience for everyone.

There are two dump stations available on-site for use when you depart. If you need service during the week, a honey wagon will be roaming the grounds — you can sign up for a pump-out at Center Camp once the event begins.

You must arrive with your fresh water tanks full.

While there are several hose bibs around the grounds for refilling jugs or bladders during the week, they are not intended for filling RV tanks upon arrival. Plan ahead and fill up before you get to the event.

You’ll find multiple dumpsters located throughout the grounds, along with trash and recycling cans in common areas.

Please do not use the common area cans for your household trash. Be a good human and walk it to the dumpster — your neighbors (and the volunteers who empty those cans) will thank you.

There are multiple restrooms available in Center Camp, along with porta-potties placed throughout the grounds for convenience.

A shower house is available on-site, but it has only 4 stalls and limited hot water — so plan accordingly. We recommend showering during off-peak hours if you want to avoid lines and increase your chances of a warm rinse.

 

We’re all friends here — but if you want to park next to someone specific, make a plan to meet up off-site and arrive together. We’re unable to hold spaces or reserve spots in advance.

All RVs that wish to park together must be registered for the same parking section. While we can’t guarantee you’ll be right next to everyone in your crew, our parking team will do their best to keep you close.

KIDS AT BASH

ARE KIDS ALLOWED TO ATTEND BASH?

Yes! We love kids — we just ask that you keep an eye on them (not a leash… that’s for the dogs). Bash is a fun and energetic environment, but it’s also a big space with a lot going on, so please make sure your kiddos stay safe and accounted for.  

Yes! Our Kids Camp program provides minors with a place to connect and share in fun with their peers.

To help keep Bash safe and enjoyable for everyone, we ask that:

– Children 15 and under must be accompanied by a parent or guardian anytime they are outside their camping area.
– All minors must wear their event name tag when outside of their designated campsite.
– Unless otherwise specified, minors under 18 must be supervised by a responsible adult when attending a scheduled activity.

If a child’s behavior becomes disruptive or unsafe, event staff may ask the child and their guardian to leave the activity — or, if necessary, the event grounds entirely. Your cooperation helps us create a fun, respectful environment for all.

While most activities at Bash are for all-ages, some activities may have age restrictions based on the environment or content. Please respect these guidelines to help maintain a safe and comfortable atmosphere for everyone.

After 10:00 PM, all minors (under 18) are not permitted in Center Camp or other event facilities — even with adult supervision. During these hours, minors should remain within their designated parking section and must be under the direct supervision of a responsible adult.

Some activities may have additional age restrictions based on the environment or content. Please respect these guidelines to help maintain a safe and comfortable atmosphere for everyone.

SELF-CARE & SAFETY

PRACTICE SELF CARE
  • Always be hydrating. Bring your own water wherever you go and be sure to get enough electrolytes.
  • Get enough sleep.
  • Eat healthy, nourishing food.
  • Drink responsibly. It is easy to overindulge when you know your RV is just a few steps away but becoming overly intoxicated can be dangerous for numerous reasons. 
  • Don’t hesitate to take a day off. Check out the event schedule and consider choosing a day to sit out and allow yourself to recover.
  • Dress comfortably. Wear appropriate clothing and footwear that will keep you comfortable throughout the event. Consider the weather conditions and dress in layers if necessary.
  • Make a plan. Stick with friends throughout the event. Establish meeting points in case you get separated and keep others informed of your whereabouts.
  • Be aware of your surroundings: Be observant of the people around you and any potential hazards. Report any suspicious activity to event staff or security volunteers.
  • Lidded cups and bottles help keep dust and other unwanted items out of your drink.
  • If you don’t know what’s in something, it’s best not to drink or eat it.

Consent is the cornerstone of a healthy community. It’s simple: whether it’s a potential sexual encounter, physical touch of any kind, something requiring permission that will radically alter the experience of another person, or involves recording someone’s image or voice, you are responsible for getting verbal consent before engaging. It is neither ethical nor acceptable to proceed without that person’s awareness and clear consent. An impaired person cannot give consent. Children (anyone under 18) cannot give consent, you must speak with their parent/ guardian. Be aware: Silence does not equal consent.  Coercion does not equal consent.

It is a felony to give drugs to a person without their knowledge or consent (even if it is meant in ‘good fun’). Don’t do it. Ever!   

If you see someone who needs help, offer it. If you see someone being treated any way but wonderfully, step in and be an advocate or contact a staff member or safety volunteer. We are all in this together.

IT’S A ZERO TOLERANCE POLICY!

The Escapees RV Club will not hesitate to involve law enforcement.  At the very least, you can kiss your club membership goodbye for any violation of our event rules and membership code of conduct.

  • If you suddenly feel like you’re becoming extremely intoxicated and/or suspect that your drink may have been tampered with, immediately inform event staff, a bash buddy, an event safety volunteer, or ask people to help you by calling the attention of one of these team members. Do not go off alone with anyone. Stay in or get to a group area if possible.
  • If you see someone who appears to be overly intoxicated, ask them if they need help. Particularly if they are being led away by someone who doesn’t appear intoxicated. Even if you are unsure of the situation, we recommend checking in. Simply walking up and saying “Hey! How’s it going?” gives you a chance to offer help if you think it’s needed.
  • If you or someone around you needs help, seek out event staff, a bash buddy, or a safety officer. They are there to ensure your safety and will assist you.

Remember the Golden Rule and treat everyone like you want to be treated.
