Volunteer Information

Bash doesn’t happen without our amazing volunteers — they’re the heart of this event. Whether you’re greeting arrivals, running games, or helping behind the scenes, your time and energy make a huge impact. This page has everything you need to know: available roles, expectations, and how to sign up. Let’s make some magic together.

How To Volunteer:

  • Volunteer opportunities are available only to registered attendees of Xscapers Annual Bash. Once you’ve registered, check your confirmation email for a link to the volunteer sign-up form.
  • Before signing up, please read through the job descriptions and only commit to roles you’re confident you can follow through on — our team and fellow attendees are counting on you!
  • If you’ve volunteered in the past and are interested in stepping into a lead volunteer role, reach out to Bash Director Hollie Parks at hollie.parks@escapees.com.

Volunteer Job Expectations & Duties

Lot Striping

  • Arrive up to 5 days early and be available during the daytime all week long leading up to the event.
  • Assist in painting all the parking spaces for the event.
  • Assist with parking on arrival day. 
  • Help assemble, raise, lower, and disassemble the tent when applicable.

Parking Crew

  • Arrive 1 – 2 days early.
  • Ability to walk/stand for extended periods of time.
  • Available during the day on the Friday prior to assist with last minute set up and early arrival parking.
  • Assist with showing attendees their parking section and spot on arrival day.
  • Expect lots of walking & standing.

Craft Services

  • Arrive up to 5 days early and be available during lunch and dinner hours the week prior to the event.
  • Assist in the organization, prep, and serving of meals to onsite staff and volunteers the week prior to the event.
  • Be available on arrival day to assist in distributing snacks and beverages to all volunteers assisting in arrival day operations.
  • Have a basic understanding of safe food handling practices

Venue Prep Crew

  • Arrive up to 4-5 days early and be available during daytime hours the week prior to the event.
  • Ability to lift and move heavy items, including unloading the event trailer and storage container.
  • Assist with assembling and raising the event tent.
  • Assist with building/ assembling event decor and accessories.
  • Assist with miscellaneous venue and event preparations.
  • This is great job for creatives (painting, building, design, etc.)

Activity Set-up & Teardown

  • Arrive up to 1-2 days early.
  • Assist with setting up individual activities during the week of the event, including but not limited to table and chair set up and removal.
  • Must be available at least two days during the event to assist with activity set up.

Attendee Check-In

  • Arrive up to 2 days early.
  • Available Friday evening before the start of the event for a volunteer meeting and to assist with last-minute setup.
  • Available on arrival day to greet and check in attendees.

Vehicle Check-In

  • Arrive up to 2 days early.
  • Available Friday evening before the start of the event for a volunteer meeting and to assist with last-minute setup.
  • Available on arrival day to greet attendees as they arrive onsite.
  • Expect a lot of walking and standing.

Mail Room & Merch Booth

  • Arrive up to 1 day early.
  • Be available to pick up and sort packages throughout the week of the event.
  • Be available during mail room hours (late afternoon/ early evening) 1-2 days during the week of the event.
  • Assist with merchandise sales and counts.
  • Assist with handing out mail to attendees.

Trash/ Recycling

  • Arrive up to 1 day early.
  • Be available to empty trash cans and bring trash to dumpsters.
  • Help keep event and parking areas free from trash.
  • Assist with sorting and maintaining recycling.

Xscapers Olympics Committee (XOC)

  • Arrive up to 1 day early.
  • Work with XOC leaders to run games during the activity.
  • Will not be able to participate in the games.

Bar Staff

  • Arrive up to 1 day early.
  • Must be at least 21 years old.
  • Work with lead bar staff, taking shifts to serve at the bar throughout the week.
  • Expect prolonged standing.

Coffee Crew

  • Arrive up to 1 day early.
  • Assist the team lead with prepping and maintaining the coffee station.
  • Be available for 1 – 2 mornings during the event to prep coffee.
  • Early birds are best for this job.

Kids Camp

  • Arrive up to 2 days early.
  • Members attending with families are preferred.
  • Work with other volunteers to implement daytime activities for kids in attendance.
  • Be available for a few hours 1-2 days during the event to assist with kids camp activities.  

Fire Attendant

  • Arrive up to 1 day early.
  • Be available for 1-2 nights during the event to light and maintain the group camp fire (some nights will be longer than others).
  • Ensure a safe environment during group fires.
  • Night Owls are best for this job.

Stage Hands

  • Arrive up to 2 days early.
  • Be available during the day throughout the week of the event.
  • Work with the lead stage manager to assist with sound, lighting, and stage operations.

Safety Officer

  • Arrive up to 1 day early.
  • Commit to remaining sober for 1-2 evenings during the week of the event.
  • Assist with monitoring event attendees during activities to ensure overall safety and well-being.
  • Work with Bash Director and other club staff to address any issues that may come to your attention.

Bash Buddy

  • Arrive 2 – 3 days early.
  • Must have attended at least one previous Annual Bash.
  • Wear a special hat (provided) that will identify you as a Bash Buddy at least twice during the week.
  • Assist with voting for winners and runners-up of numerous activities during the week of the event (i.e. lot crawl, best dressed, etc.)
  • Be open to meeting new Bash attendees and introducing them to others.
  • Be open to answering questions and assisting new attendees when they need help.
  • Work with Bash Director and other club staff to address any issues that may be brought to your attention.

Silent Auction Crew

  • Arrive up to 1 day early.
  • Before the event, you may be asked to assist with soliciting donations for the auction.
  • During the event, assist the team lead with collecting, organizing, and labeling auction items.
  • Be available during the evening of the silent auction to set up and work the payment kiosk at the conclusion of the auction.

Gate Duty

  • Arrive during the standard event arrival.
  • Be available for at least one 2-hour daytime shift during the week of the event.
  • Be responsible for checking vehicle and pedestrian credentials to ensure that only registered attendees are entering the grounds.

Venue Clean-Up

  • Arrive during standard arrival.
  • Depart 1-2 days late.
  • Be available all day on the last Sunday and possibly Monday after the event.
  • Ability to lift and move heavy items.
  • Assist with lowering and disassembling the event tent.
  • Assist with packing storage container and event trailer.
